Managing User Roles and Permissions

This guide explains the three permission levels in Lavalier and how to manage your team's access.

Permission Levels

Owner

Full account control, including billing and all user management.

  • Manage billing and subscriptions
  • Edit all user permissions (including other Owners)
  • Invite users and create roles
  • Access all candidates, interviews, and integrations

Recruiter

Manages day-to-day hiring and most user permissions.

  • Edit Recruiter and Team member permissions (but not Owners)
  • Invite users and create roles
  • Access all candidates, interviews, and integrations
  • Cannot manage billing

Team member

Limited access to assigned work only.

  • View only their assigned candidates and interviews
  • Cannot invite users, manage permissions, or access billing

How to Change Permissions

Both Owners and Recruiters can change user permissions:

  1. Go to SettingsUsers & Invites
  2. Find the user in the table
  3. Click their permission badge (red = Owner, blue = Recruiter, green = Team member)
  4. Select the new permission level

The change happens immediately—no save button needed.

Quick rules:

  • You can't change your own permissions
  • Owners can change anyone's permissions
  • Recruiters can only change other Recruiters and Team members (not Owners)
  • You can only assign permission levels equal to or below your own

Inviting Users

When inviting new users, you set their initial permission level:

  1. Click Invite People in the top right
  2. Enter email addresses (up to 50 at once)
  3. Choose their permission level
  4. Click Send Invitation

New users default to Team member. Change this based on what they'll need to do.

User Statuses

  • Active - User has signed in and is using Lavalier
  • Pending - User was invited but hasn't signed in yet (you can resend the invite from the three-dot menu)
  • Disconnected - User was removed from the account

Tips

  • Start with Team member permissions and upgrade as needed
  • Use Recruiter for people who need to manage the full hiring pipeline and invite users
  • Keep at least two Owners in case one leaves or loses access
  • Review permissions when team members change roles
