Connecting Your Calendar

Connect your Google or Microsoft calendar so your scheduled interviews show up in Lavalier automatically.

How to Connect

  1. Go to SettingsIntegrations

  2. Click Link My Google Calendar or Link My Outlook Calendar

  3. Sign in and grant the requested permissions — make sure all checkboxes are selected

  4. You're connected! Lavalier starts syncing right away. You'll see a status like "Last synced 5 minutes ago" on the Integrations page.

Tip: Your Lavalier account email must match your calendar email. If you signed up with a personal email but schedule interviews from your work calendar, events won't be matched.


How Lavalier Finds Your Interviews

Lavalier scans your connected calendar for events that include the word "interview" in the title or invitation body. Matching events show up in your Interview Calendar with a plus icon—click the plus to turn one into a Lavalier interview.

Want Lavalier to look for a different keyword?

If your team calls them "screens," "phone screens," or something else entirely, you can swap the keyword Lavalier scans for in just a few clicks.

  1. Open the Interview Calendar tab on the homepage.
  2. Click the link "If something doesn't show up, click here to add it." in the calendar status section.
  3. In the New Interview from Your Calendar dialog that opens, scroll to Ways to Add Meetings to Lavalier.
  4. In the field next to "Include this phrase in the subject or body," type your new keyword (for example, "screen" or "phone screen").
  5. Click OK to save.

From here on, Lavalier will match calendar events against your new keyword instead of "interview."

What You'll See on a Calendar-Sourced Interview

When you open an interview created from a calendar event, look for these controls:

  • Connected — Shows which calendar event the interview is linked to. Click the event details to open the original event in your calendar.
  • Assign Interviewer — Choose who's conducting the interview. (Date and time stay in sync with the calendar event.)
  • Disconnect — Unlink this interview from its calendar event. The interview stays in Lavalier; only the calendar link is removed.

Disconnecting Your Calendar

  1. Go to SettingsIntegrations
  2. Click Disconnect next to your calendar

Interviews you've already filled out are kept. Incomplete interviews created from calendar events are removed. You can reconnect anytime.

Note: Not connecting your calendar? You can still add interview@lavalier.ai as an attendee on any individual meeting — see Inviting Lavalier to Your Interviews.


Troubleshooting

My calendar events aren't showing up

Check that your event includes "interview" (or your custom keyword) in the title or body, and that your Lavalier account email matches your calendar email.

I see "Calendar Permissions Required"

Click your calendar's connect button again and make sure all checkboxes are selected on the permissions screen.
