Creating and Scheduling Interviews

You've got candidates in your pipeline — now set up the conversations themselves. You can start an interview right now or schedule one for later, and either way Lavalier records and transcribes it automatically, whether you meet over video, on the phone, or in person. Every interview is tied to a candidate, a role, and a stage, so your pipeline stays organized as it grows.

How to Create an Interview

You can create interviews from the Interview Calendar on the homepage, the Roles page, or a candidate's profile. Look for the New Interview button.

  1. Click New Interview.

  2. Choose the candidate, the role, and the interview stage.

  3. Review the questions and role details before you begin.

    Tip: To adjust the questions, hover over the Edit Questions icon to open the editor.

  4. Choose how to record:

    • Virtual — Paste your meeting URL (Zoom, Teams, or Google Meet). Lavalier's notetaker joins automatically.
    • Phone Call — Enter the candidate's phone number. Lavalier shows the number it will call from, places the call, and records both sides.
    • In-Person — Record using your computer's microphone.
  5. Click Start Interview to begin recording now, or Schedule for Later to set a date and time.

When scheduling for later, you'll also choose the interviewer, date, time, and expected duration.

When it's time to talk, conduct the interview — Lavalier joins, records, and transcribes so you can focus on the candidate. You'll find all your upcoming interviews waiting on the Interview Calendar.

Troubleshooting

Error: "Virtual interviews require a valid meeting URL"

Make sure you're pasting a complete meeting link that starts with https://. Lavalier supports links from Zoom, Microsoft Teams, and Google Meet.

Error: "Please enter a valid US phone number"

Phone interviews currently support US numbers only. Enter the number in this format: +1 followed by 10 digits (for example, +1 555-123-4567).

What number will the candidate see?

Lavalier calls from a dedicated number assigned to your account — there's nothing to choose or verify. The phone setup dialog shows it as Lavalier will call from [number], and it appears again as Calling from in the interview's meeting details.
