Creating a Candidate

Get candidates into Lavalier in seconds so you can start evaluating, comparing, and moving them through your hiring process. All you need is a name—everything else can be added as you go.

How to Create a Candidate

You can create candidates throughout Lavalier—from the home screen, within roles, or during scheduling:

Upload a resume: Click Import Resume, upload the file, and Lavalier automatically creates the candidate profile and extracts key details.

Create manually:

  1. Click New Candidate
  2. Enter the candidate's First Name and Last Name (required)
  3. Optionally add contact info, current role, profile links, pronouns, or other details
  4. Click Create Candidate

Tip: Creating while scheduling? Start typing a name in the candidate field—if there's no match, select Create New Candidate from the dropdown to create and link them to the interview instantly.


Managing Recording Consent

The candidate profile includes a Consent to Record section where you can track and manage whether a candidate has consented to having their interview recorded.

If you have edit permissions, click Manage Consent to:

  • Email the Recording Notification — Send the candidate a recording notice (requires an email address on file)
  • Candidate Consents to Recording — Manually mark the candidate as opted in
  • Candidate Opted Out of Recording — Manually mark the candidate as opted out
  • Clear Consent Information — Reset consent status to unknown

A timeline below shows the history of consent changes, including who made each change and when. Earlier events that have been superseded appear with a strikethrough.

What's next?

Once created, the candidate profile is your central hub for that person:

  • Add them to roles to start associating them with the hiring pipeline and scheduling them for interviews
  • Schedule interviews to move the candidate through the hiring process
  • Compare them side-by-side with other candidates
  • Add a resume any time by dragging it onto the Candidate Intelligence panel on the candidate's profile. AI-extracted insights from the resume appear in that same panel.

The candidate is immediately searchable across Lavalier, making it easy for your team to find and act on their profile.

Troubleshooting

I have two profiles for the same person

Solution: Merge them. On your Candidates list, click the menu on either row and choose Merge with…, then pick the duplicate. The list opens pre-filtered to likely duplicates, so the right person is usually the first option.

Every application and interview from both profiles is kept, and nothing is cancelled. If the two records disagree on a detail—name, title, email, résumé—you'll be asked which version to keep. Anything filled in on one profile and blank on the other carries across automatically.

Merging requires Owner or Recruiter permissions, and it's permanent, so double-check you've picked the right two people before confirming. If one of the candidates came from your ATS, see your ATS setup guide for what can and can't be combined.

"Merge with…" is greyed out, or a candidate is listed under "Not eligible to merge"

Solution: Hover for the reason. The usual causes are that the candidate is linked to an ATS that doesn't support merging yet, that both candidates are linked to your ATS (merge them in the ATS instead—the change syncs back), or that you're trying to combine a practice candidate with a real one.
