Creating a Candidate

Adding candidates to Lavalier is the first step toward streamlined hiring. Whether you're tracking a promising applicant or building out your talent pipeline, creating a candidate profile takes just a few clicks—and you can always add more details later.

Prerequisites

Before creating candidates, make sure you have:

  • Owner or Recruiter permissions on your Lavalier account
  • Successfully logged into Lavalier

That's it! You only need a candidate's name to get started.

Getting Started

There are two ways to create a candidate in Lavalier:

Option 1: From the Candidates Page

  1. Click Candidates in the top navigation bar
  2. Click the New Candidate button
  3. Fill in the candidate's information (see below)
  4. Click Create Candidate

Option 2: While Setting Up an Interview

  1. When creating an interview, start typing a candidate's name in the Candidate field
  2. If the candidate doesn't exist, click Create to add them inline
  3. The new candidate is automatically linked to the interview

Candidate Information Fields

When creating a candidate, you'll see several fields organized into sections. Only the name is required—everything else is optional and can be added later.

Required Fields

  • First Name and Last Name — The candidate's full name

Optional Fields

Professional Details

  • Current Title — Their current job title
  • Current Company — Where they currently work
  • Location — City, state, or region

Contact Information

  • Email — Add up to 3 email addresses with types (Primary, Work, Personal, Other)
  • Phone Number — Their phone number for scheduling or phone interviews

Profile Links

  • LinkedIn, GitHub, Portfolio, or other profile URLs

Personal Preferences

  • Pronouns — Their preferred pronouns
  • Name Pronunciation — How to correctly pronounce their name (helpful for interviewers!)

What Happens Next

After clicking Create Candidate:

  • You'll be taken to the candidate's profile page
  • The candidate is now searchable and can be added to roles or interviews
  • You can upload a resume, add notes, or schedule an interview right away

Troubleshooting

Problem: I don't see the "New Candidate" button Solution: Only Owners and Recruiters can create candidates. Team members don't have this permission. Ask an Owner or Recruiter to upgrade your access if needed.

Problem: Error message about invalid email Solution: Make sure the email address is properly formatted (e.g., name@company.com). Remove any extra spaces before or after the address.

Problem: Error message about invalid URL for profile links Solution: Profile URLs must start with http:// or https://. Copy the full URL from your browser's address bar.

Problem: Can't find a candidate I just created Solution: Check the Candidates page and use the search bar. If you created the candidate inline during interview setup, they're there—just search by name.

Problem: I need to add more than 3 email addresses Solution: Lavalier supports up to 3 email addresses per candidate. If you need to track additional emails, consider adding them in notes or using the Primary/Work/Personal labels to consolidate.
