Schedule interviews in advance so Lavalier can automatically join and record your meetings. This guide walks you through setting up scheduled interviews for virtual meetings, phone calls, or in-person conversations.
Before You Start
To schedule interviews, you need:
- Owner or Recruiter account permissions, OR
- Manage, Recruiter, or Hiring Manager access on the specific role
- A role in "Ready to Screen" or "Interviewing" status
- Candidate information (name and email at minimum)
How to Schedule an Interview
- Click Schedule Interview from the global actions menu (top right)
- Select or create a Role for this interview
- Select or add a Candidate
- Choose an Interviewer (required for scheduled interviews)
- Pick the Interview Stage from your role's interview plan
- Select your Interview Type:
- Virtual Meeting — Zoom, Google Meet, Microsoft Teams, or Webex
- Phone Call — Lavalier dials the candidate
- In-Person — Record using your computer, phone, or the mobile app
- Enter the required details for your interview type (see below)
- Set the Date, Time, and Duration
- Click Schedule Interview
You can also schedule interviews directly from a candidate's profile or from the candidates table using the action menu.
Interview Type Details
Virtual Meetings Paste your meeting URL (Zoom, Teams, Google Meet, or Webex). Lavalier automatically detects the platform and schedules a bot to join and record.
Phone Calls Enter the candidate's phone number. You'll also need to verify a caller ID number—this is the number that appears when Lavalier calls the candidate.
In-Person Choose how you'll record: your computer's microphone, your phone, the Lavalier mobile app, or upload an audio file afterward.
Troubleshooting
I don't see the Schedule Interview button You need Owner or Recruiter permissions, or role-level access (Manage, Recruiter, or Hiring Manager) on at least one active role.
The role I need isn't showing up Only roles in "Ready to Screen" or "Interviewing" status appear. Check that your role hasn't been archived or moved to a different stage.
My meeting bot didn't join Double-check that the meeting URL is correct and the meeting hasn't been cancelled or rescheduled. The bot joins at the scheduled start time.
I can't schedule a phone interview Phone interviews require a verified caller ID. Click the verification link in the dialog to verify your phone number first.
Error: "A bot is already scheduled for this interview" This interview already has a recording bot scheduled. Refresh the page to see the current status.
