Creating a Job

Modified on Tue, 20 Oct at 10:54 AM

A job is where every hire begins in Lavalier — it's the first thing you create. It tells Lavalier exactly what you're hiring for, so it knows what to listen for and surface in every interview that follows. You can build one from scratch with the AI assistant, import an existing job description, or capture it live in an intake meeting with your hiring manager.

How to create a job

  1. Click Jobs in the top navigation bar
  2. Click New Job in the top right and choose how to get started:
    • Record Intake — Record an intake meeting with a hiring manager and Lavalier extracts the job details from the conversation automatically.
    • Create Job — Start from scratch by describing what you're looking for. Lavalier will help you build it out and can generate a job description when you're done.
    • Import a Job Post — Upload an existing job description (PDF, Word, or text file) and Lavalier will extract the details and create the job for you as a draft.
    • New from Template — Start from one of your team's job templates. See Using Job Templates below.

Tip: Already inside a job? While you're editing it, click Import Job Post in the job header to pull in a job post, or drag a file into the job chat to extract details into the job.

Lavalier auto-saves as you go, so you can come back anytime to finish.

Using an ATS? Your job details may already be filled in

Jobs synced from Greenhouse or Ashby automatically populate their details from the ATS job post. This only fills in empty fields and won't overwrite anything you've already added.

Using Job Templates

If you hire for the same kind of job again and again, save it as a template. A template keeps the job's details, interview stages, and questions, so the next job starts ready to go instead of from scratch.

To create a template:

  • From an existing job: Open the job and click Actions → Save as Template.
  • From scratch: Click New Job → New from Template to open the Templates tab, then click New Template. Describe the job in the chat or import a job post, then click Save Template. To include stages and questions, click Interview Stages & Questions.

To create a job from a template:

  1. Click New Job → New from Template
  2. Click New Job from Template next to the template you want. You can also open a template and click New Job from This Template.

Lavalier creates a new draft job with the template's details, stages, and questions, then opens it so you can tailor it. Changes to the new job don't affect the template.

Templates show a Template chip, along with how many jobs have been created from them. To copy or remove one, open the template and use Actions → Duplicate Template or Delete Template.

Archiving a Job

When you're done hiring for a job, or you've paused the search, archive it to clear it out of your way. Nothing is deleted. Its candidates, interviews, and feedback all stay available.

  • From the job: Click Actions → Archive Job.
  • From the Jobs list: Click the ⋮ menu on a row, or right-click it, and choose Archive Job. To archive several at once, select them and choose Archive Jobs.

If some candidates are only active on the job you're archiving, Lavalier asks whether to archive them too. They're all selected by default, so just uncheck anyone you want to keep, then click Archive Selected. Or click Keep All Active to archive only the job. You'll need Owner or Recruiter permissions to archive candidates along with a job.

Archived jobs move to the Archived tab on your Jobs page and show an Archived chip. They won't appear when you schedule interviews, in search, or under Most Active Jobs. To bring one back, open the Archived tab and choose Unarchive Job. Lavalier offers to unarchive its candidates at the same time.

Note: Only jobs that are actively interviewing can be archived. Draft jobs can't.

What's next?

With your job details in place, click Done Editing Job Details. That moves your draft forward so you can shape how you'll interview for it — tailor its stages, prepare the questions each candidate will answer, and start adding candidates. You can also generate a job post if you need one.

Customize interview stages → Prepare interview questions → Generate a job post →

Troubleshooting

I don't see New from Template or the Templates tab

Solution: Job templates aren't included with every account. If you don't see them, you may need to update your account's plan. Contact Lavalier support to learn more.
