Using AI Screening

AI Screening lets you send candidates a link to a short, AI-conducted video interview—so you can get an early read on who to move forward without scheduling a live call. The candidate completes a 15-minute conversation on their own time, and you review the recording and transcript when it's done.

How to Invite a Candidate to AI Screening

  1. Add an AI Screen stage to your role's interview plan if it isn't there already.

  2. Move the candidate to the AI Screen stage.

  3. On the candidate's application card, click Invite to AI Screen.

  4. In the Invite to AI Screen dialog, review and edit:

    • Candidate's Email Address — Pre-filled from the candidate's profile.
    • Invitation Subject — Defaults to "Interview with [your company] for [role title]."
    • Invitation Body — A short, editable message explaining the next step.
    • Expiration — Choose 1, 3, 7, or 14 days. Default is 7 days.
  5. Click Send Invitation. Lavalier emails the candidate a unique link.

Tip: The invitation body is fully editable. Personalize it to match your usual outreach tone before sending.


The Candidate Experience

When the candidate clicks the link, they walk through a quick guided flow:

  1. Consent screen — They see your company and role name and click Yes, I consent to being recorded or No, I will not interview.
  2. Device setup — The browser asks for camera and microphone permission. They preview their video and pick which microphone, speakers, and camera to use.
  3. Ready screen — A brief overview reminds them the interview takes about 15 minutes and must be completed in one sitting. They click Start Interview when ready.
  4. The interview — The AI agent asks questions based on the role's prepared questions. A live transcript and countdown show on screen.
  5. Finish — The interview ends automatically at 15 minutes, or the candidate can click End Interview Early.

If transcript sharing is turned on for your account (see below), the screen shown after the interview—whether the candidate finished or ended early—includes an Email Me a Copy of the Transcript button.

Offering Candidates a Copy of Their Transcript

You can let candidates email themselves a copy of their AI Screen transcript. Go to SettingsInterviews and turn on Offer candidates a transcript after their AI screen ("Candidates can request an emailed copy of their transcript"). This is an account-wide setting that Owners and Recruiters can change, and it's on by default.

When it's on, the post-interview screen shows an Email Me a Copy of the Transcript button after the candidate completes—or ends early—their screen. Clicking it shows a Your Transcript Will Be Sent Soon confirmation, and Lavalier emails the candidate a few minutes after the interview, once processing finishes. The shared transcript matches what recruiters review in Lavalier.

Reviewing AI Screen Results

Once a candidate completes their AI Screening, the Invite to AI Screen button becomes Review AI Screen. Click it to open the recording and transcript, just like any other interview in Lavalier.

While you're reviewing a completed AI Screen—as long as the candidate is still in the AI Screen stage—a Move to New Stage button appears in the header. Use it to advance the candidate to their next interview stage, or to mark them as Hired, Rejected, or Withdrawn, without leaving the results view.

Each AI Screen gets an integrity status so you can sort candidates at a glance:

  • New — Candidate is in the AI Screen stage but hasn't been invited.
  • Already Invited — Invitation sent, candidate hasn't completed the interview.
  • Missed — Invitation expired before the candidate started.
  • Incomplete — Candidate started but ended before finishing.
  • Opted-Out — Candidate declined to participate in the AI Screen.
  • High Priority / Medium Priority / Low Priority — For a completed screen, an AI-assigned signal for how strongly it's worth your review. Hover the status to see how many prepared questions were answered, along with counts of Strengths, Observations, and Things to Consider.

If a candidate missed their invitation—or started but didn't finish—the button becomes Re-invite to AI Screen so you can send a fresh link.

Troubleshooting

The candidate says they can't open the link

The invitation may have expired. Click Re-invite to AI Screen on the application card to send a new link.

The candidate's status shows "Missed"

"Missed" means the invitation expired before the candidate started. Use Re-invite to AI Screen to send a fresh invitation.

The candidate's status shows "Incomplete"

"Incomplete" means the candidate started the interview but ended it early. You can still review whatever was recorded by clicking Review AI Screen.

Error: "Couldn't Start Recording"

The candidate's browser blocked camera or microphone access. Ask them to allow access for Lavalier and click Try Again on the consent screen.

Can candidates be invited to an AI Screen automatically?

Yes. If your account uses the Ashby integration with Lavalier AI Screen configured as an assessment on an interview stage, candidates are invited automatically when they reach that stage in Ashby—no manual invitation needed. Results are written back to Ashby once the screening completes.
